General

Do you give or show all of the Digitals from the session?

No, we do not. We eliminate duplicate images, test shots, missed focused shots, shots with bad expressions and other images that may dilute the overall product delivery. If you chose a Collection with all the Digitals, it means every image from the session after being culled and edited to our quality standard.

What is a sitting fee?

A sitting fee is a retainer fee. This means an amount of money is to be paid at the time of booking to book and hold your session date. When you choose a Collection, $250 of that amount (plus any indoor studio fee if it applies) will be required at the time of booking in order for your session to be confirmed. If you are booking a Promo, the entire session cost must be paid at the time of booking.

Are sitting fees refundable?

No, but in some extreme circumstances, yes. If a Client cancels the session with no rescheduling date, the sitting fee serves as a Cancellation Fee and is not refundable. We do allow one free reschedule as we understand things can happen in life out of our control. Reschedules must be requested in at least 24 hours before your session date/time. If a Client confirms their session, and does not show up after 15 minutes with no communication, we reserve the right to consider it as a No Call No Show and leave. The sitting fee will serve as a Cancellation Fee and will not be refundable. 

In extreme circumstances, in the event of illness, death in the family or otherwise the Photographer can no longer perform the session and a reschedule cannot be made, we refund the sitting fee and no further obligation shall be applied. 

What is a Style & Concept Consultation?

A Style & Concept Consultation (S&C) is a unique feature we offer to our Clients to make their session experience not only amazing but truly unique to celebrate you, your story and your loved ones. We can either set up a meeting in person or over the phone and go over every session detail, your desires, interests, questions, requests and more. We provide our clients with a Style Guide with fail-proof tips and suggestions to bring out your best at your session.

What is your delivery time?

After the date of the session, turnaround is usually 2 weeks. If we have an abnormally large session, it could extend an additional 2 weeks.

What is a Reveal?

For our Collection sessions, a part of our portrait experience is called the Reveal. Once your photos from the session are ready for viewing, we will schedule a Reveal appointment. Reveals consist of meeting in the studio or in the comfort of your home and showcasing the pictures taken from your session. Then, we proceed to picking out your favorites for the Collection you chose and any additional add-ons you'd like to order.

How many images do you usually deliver?

Our Collection sessions usually delivers on average of about 50 images to choose your favorites from. Certain Collections offers a certain amount of photos, but if you choose a Digitals only Collection with all the photos, all the photos are professionally culled and edited, will be given, which on average is about 50 images.

Do you post our images on social media?

Yes. A Photographer is the sole Copyright holder, therefore we reserve the right to use the photos taken from your session to publish and distribute for publicity, illustration, commercial art, advertising, product or services, or other lawful uses as may be determined by the Photographer of all images taken, in all forms of media to further promote it's business. We obtain a Model Release from all of our Clients outlining the rights, responsibilities and expectations. 

If the Photographer is the Copyright holder, how do we get to have Digitals?

There is often some confusion on the legality regarding photos. A Photographer is the Copyright holder. They own the images. When a Client purchases a Digital(s), they are also purchasing the license to use them for personal use. We break ours down between High Res (for printing) and Web Res (for web/social media). For High Res, this means any reasonable production of the photographs is unlimitedly allowed for personal use only. For Web Res, they optimized for web publishing and sharing on social media, due to specifications between Print and Web resolutions are very different. When our Clients signs our Model Release for either license, it will provide the rights, responsibilities and expectations of what you can do with the images.

What if we don't want you to post our images?

We completely understand a reason why you may not want to post or us post images of yourself or family. Whether it be for security, cultural or religious beliefs, we totally understand that. However, any time we do not post highlights from our sessions or add to our portfolio, it hurts us as a business, because we are not putting newer content on our platforms. 

The good news is that we still take Clients who request NDA's. Please get in touch with us for additional information.

Do you ever sell or release RAW files?

Absolutely, under no circumstances  do we ever sell or release RAW images unless we are working with a commercial company. RAWs are an unfinished product and we like to deliver final products only. 

Do you offer retouching services?

Yes. In our Collection sessions we offer complimentary retouching and it is reflected in our pricing. If you have specific requests, let us know during our S&C. For Horse Shows, we offer retouching for an additional fee per image.

How long will it take to receive my Collection of art, prints, keepsakes etc.?

On average, the turnaround time for prints is within one week. For Canvases, Metal Prints, Keepsakes, Albums etc. the average is usually two weeks. Once your order has come in, they will be inspected by us to ensure the highest quality standard. Once they pass our quality check, we will notify you your order is ready for delivery and will proceed to set up a delivery date/time.

Can we ask for a discount or negotiate the price?

We do not allow bargaining or negotiations of the price. We charge what we need to charge to run a profitable business, as every business does and should. The good news is we may have a promotion for a session at a discounted rate or offering a dollar amount off a product, but they are for a limited time and subject to availability.

What is a CPM form?

After your session, we send Clients a CPM (Client Print & Model) Release form. This outlines the guidelines and expectations for our Clients as well as the VSPF, regarding digitals and their usage. Our release form is simple, straightforward and industry standard.

What methods of payment do you accept?

We currently accept cash, check or credit card. You can choose to pay online through our website or PayPal.

What if I show up late to my session?

Communication is key, and is number one for the establishment of our client relationships. If you're running late or something happens, call me or text! I'm very laid back and don't mind if you're running behind. If you're running more than 30 min late, I strongly suggest rescheduling because the time allotted for the session must remain on schedule. Therefore if you booked a 1 hour session and arrive 30 min late, you will have a 30 min session. If we have availability after your session time ends, it is possible to extend your session time to make up for lost time. If there is a No Call No Show, we reserve the right to leave the session after 15 minutes and your retainer fee and session is forfeited.

What happens if there is a rain out or bad weather?

As with many things in life that are uncertain, weather is no exception. If the weather is not looking good, we give you the final decision to decide if you want to commence with the session. If there's an absolute certainty that the weather will threaten the quality of the session or become too dangerous, we will need to reschedule the session for a future date. We try to reschedule within a week if possible. However, sometimes it may be longer. We will cross that bridge when we get there!

Can I bring a friend or additional family members with me to the session?

You can bring up to one additional person with you to the session who will not be in the session. I totally get bringing your sister along to help with your baby's outfit changes! Mom and Dad, of course. We only allow up to one person due to they may be a distraction to the Client(s). We also ask that this person does not take any photos with their cell phone during the session as it also can be a distraction. 

Do you charge a travel fee?

For any session greater than 45 miles from our location, we charge an additional travel fee of $0.655/mile. The primary purpose is to provide adequate compensation for the Photographer or Assistant(s) for the additional time spent in travel. Trips to Dayton, for example, takes over an hour each way. This is time for which we have to compensate for due to adding a buffer and cannot book other clients. For this reason, these fees are unfortunately necessary.

Do your quotes include taxes?

Kentucky's new tax law that started January 1st, 2023 requires charging sales tax for services, including digital goods. As of 2023, VSPF is required by law to add tax separately and can no longer be included in pricing. Other potential additional cost you may see when booking is the travel fee if your requested session location is further than 45 miles from our location. Furthermore, Kentucky law is a destination state, meaning the state the customer resides is the sales tax on your invoice.

 

If you're ordering extras for your Collections, horse shows or otherwise from the VSPF store or other products, these orders will naturally have taxes added at checkout.

I'm not satisfied. How do I get a refund?

We always strive for you to have not only an amazing experience, but amazing photos to relish time and time again. However, If you are unsatisfied with your images, or experience, we strongly believe communication is key to rectifying the situation and have a great outcome. If the images aren't satisfactory, we offer complimentary reshoots. We always confirm selections before releasing digital images. Once digital images are released/published for download, the session and/or sitting fee are not refundable. Our printed products are not refundable as well once the order is placed into the lab. Each circumstance is unique and solution will be determined at VSPF's discretion.
